BETHLEHEM LUTHERAN PTO MEETING

Minutes – Thursday November 5, 2009
6:00 pm

In attendance: Jennifer Stemen, Sheila Rivers, Kathy Baker, Kerry Baker, Linda Holcomb, Maggie Geilenfeldt and Nancy Kim

Jen Stemen opened with prayer.

Minutes from the October 1st, 2009 meeting were accepted.

TREASURER’S REPORT – Michelle Zulfer was absent, and no formal report was submitted at this meeting. It was noted that the money owed to Market-A-Peel from the Peeler fundraiser was submitted to them, along with the remaining unsold peeler cards. There was a cost involved with mailing and insuring the package.

NEW BUSINESS – The Mitten Tree – Greene County Combined Health District (GCCHD) provides mittens, hats and gloves to needy children and adults in Greene County from November to March each year. The hats and gloves are distributed from their office. They are seeking donations of same from infant to adult size, as well as monetary donations. The PTO decided that this would be a worthy service project for the school, and that we would collect the items at the school for a 2 week timeframe, beginning in January, with the exact dates to be set at a future time. The mittens, hats and gloves can be handmade, new or very gently used. GCCHD would pick up our donations from the school, and take our photo. Aside from being a worthy service project, the photo will help to provide publicity for Bethlehem Lutheran school.

OLD BUSINESS

Fall Festival- To be held November 19th, 6-8 pm at the school.
1) Mrs. Landolfi – book for sale – no report at this meeting
2) Mrs. R. Jenkins –via emailed report– Will donate handmade hats to the fall festival.
3) Silent auction – Will be manned by Mr. Turinetti and Mr. Houtler
4) Many items, certificates and services have been donated to this point.
5) Coach and her family will set up and run the games in the gym.
6) Mrs. Zulfer has purchased small prizes from Oriental Trading, and other prizes have been donated.
7) The preschool games (fish pond, sucker pull, duck pool) will be held in the fireside room. The craft will be held in Mrs. Bogard’s room, off the fireside room. The cake walk will be held in Mrs. Hooper’s room off the gym, with Mr. Baker presiding over that event.
8) Student and parent volunteers are required to run games.
9) Food – Decided against serving Honeybaked ham, as it is too expensive. Will serve hotdogs, chips, bottled water, and coffee for ticket donations, and donated baked goods for monetary donations. Kathy and Kerry Baker volunteered to donate all of the hot dogs for the evening, and Kathy Baker will be preparing and serving the food. We will be asking for donations of finger type baked goods, such as brownies, squares, and cookies, packaged in baggies. Sheila Rivers volunteered to gather and prepare the donations for that night. Donated baked goods must be at the school by Wednesday November 18th. Suggested ticket donation levels were decided on, and Nancy Kim volunteered to make a sign. Food amounts to be purchased were decided upon (300 hot dogs and buns, 12 bags of potato chips, 5 cases of bottled water, serving ware, etc.). The Baker family volunteered to do the shopping.
10) An email will be sent to Bethlehem families and staff regarding the need for donations for the baked goods sale, donations of cakes for the cake walk, and for parent and student volunteers for helping run games.
11) We have three volunteers for the face painting. Jen will check with Michelle Zulfer to see if we have paint left over from last year.

COACH’S CORNER

Playground Equipment - Coach provided an update on the playground equipment. A set has been selected. Plans for the equipment are posted on the wall outside of the school office for parents and students to view. The price is $10,000, after a grant of $4000 from the company. This includes shipping, and this price is guaranteed until November 30, 2009. We will still need to rent an auger to make holes for the posts, and purchase cement for the installation. This should be approximately $300-$400.

Thanksgiving Feast- Coach asked for volunteers to help move tables and chairs from the lunchroom into the gym for the Thanksgiving Feast. Volunteers will be needed on Sunday November 22nd at 2 pm. The Thanksgiving Feast will be held in the gym on Tuesday November 24, 2009. There will not be a program this year. An email will be sent regarding this.

The meeting was adjourned at 7:10 pm. The next meeting will be Thursday December 3 at 6:00 pm.
